Business Vending - Terms & Conditions

Our terms and conditions are as set out below and apply to all transactions conducted on our websites, by other electronic means, in person, or by telephone. Please review these carefully before placing your order. We recommend you print out a copy for future reference. Please also read our privacy notice regarding personal information provided by you. We may change these terms and conditions from time to time without notice to you. Changes will apply to any subsequent orders received.

Please note that Business Vending is exclusively a business to business (B2B) supplier and in all matters between us only law regulating strictly business to business transactions will be deemed to apply.


All prices displayed on this website are in GBPS Sterling, exclusive of VAT. The price you pay is the price displayed at checkout when you complete your order, except in the unlikely event of a pricing error. If we discover that any items in your order have been priced incorrectly we will inform you as soon as possible and give you the option of reconfirming your order at the correct price or cancelling it and receiving a full refund.

Order Acceptance

All orders are to be regarded as B2B contracts and these terms and conditions to apply immediately upon the placing of any order. By placing an order with us you confirm that you are buying for business purposes and not for personal use. An order will be considered as accepted by you immediately upon completion of checkout and as accepted by us on upon our sending of your order confirmation. The sole exception being if we have advised you that we do not accept your order prior to despatch or you have cancelled it in accordance with the procedure described in our Deliveries, Cancellations & Returns sections.


All our items are offered for sale subject to availability. In the event that we are unable to supply any of the items ordered we will inform you of this as soon as possible. A full refund will be given for any item(s) that we have been unable to supply.

Product details

Sometimes the product specifications from any given manufacturer may change. In such instances we will do our best to offer you a substitute of the same or better quality at the same price. All sizes and measurements given, and all colours displayed, on our websites are approximate and provided for your guidance only, but we do try to make sure that they are as accurate as possible.

Delivery Costs

Delivery costs are calculated by our shopping cart software and can always be viewed prior to order confirmation.

UK Deliveries

Some UK addresses (e.g. Northern Ireland and the Islands & Highlands) may incur additional postage costs. In such instances you will be advised of such and be invited to pay the extra or to cancel your order and receive a full refund.

Please note that we will not deliver to PO boxes or any other kind of mail forwarding address.

Orders to such will be cancelled down and a refund, less a 10% of gross order value administration charge, issued back to your card.

We make every effort to deliver your goods within the estimated timescales, however delays are occasionally inevitable. Business Vending is not liable for any failed or later than expected deliveries.

Overseas Deliveries

Business Vending does not get involved in any way at all with deliveries to overseas locations. Overseas customers will need to specify a UK based freight forwarder, or similar, of their own arranging as their delivery address. Vending Warehouse accepts no liability at all past the point that any such delivery is made.

Orders to non UK addresses will be cancelled down and a refund, less a 10% of gross order value administration charge, issued back to your card. 

Machine Deliveries

Machines are usually delivered direct by the manufacturers and delivery times may vary dependent on a number of factors. Cafexpress Ltd will endeavour to keep its customers informed of machine delivery schedules at all times.

Receiving Your Delivery

All deliveries must be checked for any signs of damage upon arrival and be signed for by a suitably authorised person aged 18 years or over. NB: Once a delivery has been signed for as 'received in satisfactory condition', or equivalent thereof, there is no further recourse against the courier for any damage, internal or external, caused in transit. Cafexpress Ltd are unable to accept returns or issue refunds or send replacement goods for any deliveries so signed.

Order Cancellations

Order cancellations can only be accepted up untill our confirmation of your order. Orders cancelled past that point will be subject to a cancellation charge at 20% of gross order value including P&P.

Returns & Refunds

Returns are only accepted for goods incorrectly supplied and/or signed for as damaged at time of delivery.

Refunds are only issued in instances where damaged goods cannot be repaired and/or incorrectly supplied goods be replaced.

To return faulty or incorrectly supplied items to us please follow the simple procedure outlined here:

  • Notify us within 24 working hours of any problem with the goods being identified.

  • Do not return the goods until we ask you to as we may need to investigate or independently verify the problem whilst the goods are still on your premises in order to comply with the originating suppliers own terms and conditions.

  • The appropriate returns/replacement/repair procedure will be advised to you from there.

Please note that refunds, including your actual return postage costs, are strictly subject to our receipt of the goods returned and our verification of the original problem reported.


All products sold on our website are sold exclusively with the product manufacturer’s own guarantee. On machines and hardware such guarantees are usually ‘parts only’ with any labour elements being chargeable separately. No other guarantees are assumed or implied.


Business Vending subcontracts all service activities such as machine installations, servicing and/or maintenance contracts and ad-hoc machine repairs directly back to the equipment manufacture whenever that is possible.

When that is not possible we subcontract out such activities to reputable independent service providers as are recommended by the equipment manufacturer.

All such service providers charge on a call-out plus time on site plus parts used basis and the customer has the right to cancel any call out by giving 48 hours written notice in advance of attendance and to refuse any further time being spent at their premises at any time they choose.

In return the customer agrees to reimburse us for all call outs and all time on site and all parts they have allowed the subcontractor to provide them with up untill such time. 

The Insurance Liability for all work carried out on any customer's premises is covered exclusively by the attending subcontractor. Business Vending shall not be liable for any loss of any kind whatsoever suffered by the customer as a result of the subcontractors work or the equipment or any part thereof being unusable for any period of time no matter how occasioned.

Law & Jurisdiction

For the avoidance of doubt the contract between us shall be governed by the laws of England and Wales and any dispute between us will be resolved exclusively in the courts of England and Wales. English is the only language offered for the conclusion of the contract.
